1. Registration Officer

MAIN DUTIES & RESPONSIBILITIES:

Job Description

Reporting directly to the Registrar, you shall provide high level support for the Language Centre with excellent customer service, perform student registration, recordkeeping and general office tasks.


You shall also work closely with other employees from Alliance’s departments and liaise with a range of stakeholders including customers, vendors and partner organisations.

Your tasks shall include the following:

• Greet visitors, students and respond to requests for information and provide assistance either to walk-ins, via email or on the phone, regarding the class registration process, refund policies, change of classes and deferment, course catalogue, placement test and private tuition or any other question related to the language centre activities

• Register students for courses and workshops and renewal/extension of private tuition

• Under the direct supervision of Academic Coordinator: register students for official French language exams (DELF /DALF/TEF/TCF/DAEFLE/CCIP), put DELF/DALF students’ data and results into the DELF/DALF system, archive all the DELF/DALF examination papers accordingly, allocate time slot for DELF/DALF oral, issue convocations to DELF/DALF students, issue DELF/DALF certificates.

• Settle the daily account for NETS/VISA/MASTERCARD/AMEX/CASH payments

• Make phone calls to students and parents for late payment

• Call and email students and parents for changes related to classes, follow-up of registration, outstanding payments, etc.

• Print and issue letters of attendance, letters of registration and certificates

• Place signage for classroom during the beginning of the new term and for any change of teachers and classrooms

• Provide support as assigned by Registrar, Academic Coordinator or Director of Studies

• Maintain students’ database by encoding accurate data into the system, and constantly updating all pending requirements to complete students’ records and information

• Ensure proper storage of all files and scholastic documents

• Provide information and sell bookshop products and learning materials

• Maintain a proper storage and organization of bookshop products

• Advise on order quantities to always ensure sufficient stock of books

CONDITIONS & COMPENSATION:

•  Contract length: Permanent

About the Role

Alliance Française de Singapour is looking for a hands-on and reliable Assistant IT Manager to support its day-to-day IT operations and contribute to digital projects across the organisation. Reporting to the IT Manager, you’ll be involved in managing software systems, maintaining hardware inventory, improving our website, and liaising with our tech vendors.

This is a great opportunity for someone with a solid technical foundation and an interest in applying their skills to real operational needs in a dynamic cultural and educational institution.


Key Responsibilities

Software & Systems

  • Act as a key contact for our school registration software, Arc-en-ciel, and assist in reviewing its potential migration to Oncord in collaboration with the marketing team.
  • Support our ERP platform, Odoo, by coordinating with our external partner (Portcities) and troubleshooting issues internally.
  • Help maintain and enhance our online presence, including a new e-commerce website with integrated chatbots and a Learning Management System (LMS).
  • Develop a basic scheduling automation solution for teaching staff.
  • Handle updates and user support for Microsoft Outlook and Windows systems.
  • Assist in the management of payment software and ensure seamless integration with our other tools.

Website Management & UI Improvements

  • Improve the user experience and visual layout of our website for both desktop and mobile users.
  • Work with the team to expand menu options, create more intuitive navigation, and make newsletter templates easier to design and use—without incurring extra vendor costs.
  • Ensure website content is displayed clearly and can be updated easily by staff.

IT Projects

  • Assist with ongoing and new IT-related projects, such as system upgrades, automation tools, and software rollouts.
  • Coordinate with software vendors and internal departments to ensure tasks are delivered on time.
  • Provide feedback on software design, usability, and functionality from an end-user perspective.

Hardware & Inventory

  • Keep an updated log of all IT equipment and perform monthly inventory checks.
  • Set up and install new or replacement hardware as needed.
  • Propose new hardware or equipment purchases based on user needs and performance requirements.

Who We’re Looking For

  • You have at least 2 years of hands-on experience in IT support, systems coordination, or digital project work.
  • You’re comfortable using or learning platforms like Odoo, Arc-en-ciel, and Oncord, as well as managing Microsoft tools like Outlook and Windows OS.
  • You’ve worked with websites or content management systems (like WordPress or other platforms) and care about making them user-friendly.
  • You’re detail-oriented, organised, and able to explain tech to non-technical colleagues.
  • Bonus if you’ve worked with educational, cultural, or non-profit organisations.

Good to Have

  • Basic knowledge of the French language or interest in French culture
  • Familiarity with data privacy practices in Singapore (e.g. PDPA)
  • Experience with basic UI/UX, email templates, or newsletter tools
  • Exposure to project coordination or IT system implementation

3. CULTURAL EXECUTIVE & EXHIBITION DESIGNER

CONTRACT START DATE: As soon as possible

MAIN DUTIES & RESPONSIBILITIES:

Oversee the production of cultural and social events (e.g., French Excellence programmes, Francophonie Festival, International Music Week, private events etc.):

Reporting to the Programming and Sponsorship Manager, you will ensure the smooth implementation of Alliance Française’s cultural strategy by overseeing the production and development of comprehensive cultural programmes which aim at connecting local and French communities together and developing long-lasting, cross-cultural collaborations.

1. Exhibitions
• Based on the curation, define exhibitions' spatial design, producing 3D sketching and exact plans to be sent to production suppliers (carpenters, electricians, printers, etc ...) and liaise with them to ensure satisfactory delivery
• Look out for partners and suppliers to procure the curatorial elements according to schedule and budget, and secure the logistics for shipment and return
• Supervise the back and forth with the selected design agency to ensure conformity of the final page proof before production
• Replace the Gallery and Event Assistant if absent by opening and closing the gallery, and conducting the guided tours
• Oversee the set up and dismantling of the exhibition

2.  Live performances
• Cast about for companies and artists able to produce shows aligned with the envisioned programme and negotiate the terms of the contract with them
• Run the submission for the obtention of the Arts Entertainment License
• Liaise between the artist(s) and the Theatre Manager to ensure the availability of required material and the compliance with the budget
• Assist the Theatre Manager during the bump in, set up, rehearsals and dismantling

3.  Workshops and social events
• Prospect companies potentially interested in organizing a team building at Alliance based on ongoing programme and tailor the offer to their needs
• Find the appropriate providers / artists to ensure the proposition respects the programme and budget defined by Alliance (or the client if it is a private event)
• Follow up on the quotation and invoicing from both providers and clients
• Manage the logistics and ensure the smooth execution of the event
• Conduct post-event satisfaction check with the clients

4.  Marketing
• Develop mailing databases based on cultural participants’ tastes and design tailored communication to be sent to promote specific related events
• Proactively propose and implement incentives for visitors to review Alliance Francaise’s activity
• Efficiently use gathered knowledge of the audience

REQUIREMENTS:

  Singaporean - or long-term Singapore resident - highly familiar with the local cultural and artistic scene, as well as the specific needs and tastes of its audience 
•  Strong experience managing cultural events and productions: planning and budget definition, briefing, negotiation and liaison with vendors, logistics oversight from conception to execution 
•  Professionnal ability in spatial design and 3D sketching 
•  Proven organizational and interpersonal skills set in a multicultural and dynamic environment
•  Self-motivated, detail-oriented, and capable of managing multiple tasks independently
•  Experience designing a space and drawing plans is desirable but not essential

•  Excellent command of English (written and spoken)

•  Comfortable working evenings and weekends, as required by event schedule

•  Contract length: 2 years, with a 3-month probation period  
•  Job type: Full-time
•  42 hours per week, from Tuesday to Saturday. Working hours may be adjusted in accordance with the demands of scheduled events

POSITION DESCRIPTION:

Alliance Française de Singapour  is looking for a French FLE teacher to teach young people, 2-16 years old and adults from A1 to C1.

The position requires a commitment from the professor to the Alliance's innovation and development projects and good versatility in order to be able to provide courses at the Alliance, in companies or schools, as well as in person, online.

PRESENTATION OF THE ORGANIZATION:

Alliance Française of Singapour is a local non-profit educational and cultural organization, affiliated with the international network of Alliances Françaises. With a mixed team of Singaporeans and French, and more than 4,000 members of all ages, the Alliance Française de Singapore fulfills its mission of teaching the French language and promoting French and Francophone cultures by offering various actions in its language center, gallery, theatre and library.

REQUIRED SKILLS :

– French mother tongue;
– Experience in early education;
– Openness to innovative teaching practices in person, remotely;
– Possess qualities of communication, initiative, and adaptation;
– Demonstrate dynamism, enthusiasm, involvement and cultural openness;
– DELF-DALF examiner/corrector accreditation would be a plus;
– A minimum B1 level in English.

REQUIRED DIPLOMA: Master 2 of FLE and/or DAEFLE 

TYPE OF CONTRACT : Fixed-term contract

HOURLY VOLUME PER WEEK: 20 hours on average up to 30 hours– 6 sessions of 8 weeks/year

DURATION :Local full-time contract for 1 year, renewable.

GALLERY AND EVENTS ASSISTANT |

Are you into arts, events and Francophonie culture? Here comes the opportunity!
In this 6-months internship, you will be working on exhibitions with a diverse set of artists, as well as running various social and cultural events.

DUTIES AND RESPONSIBILITIES
Assist the Cultural Programming Manager in ensuring smooth running of the events and exhibitions under her charge.

1/ Gallery 
• Assist in the installation, opening and dismantling of exhibition
• Welcome and guide the audience during the operating hours
• Prepare audience report and manage database
• Assist in updating the gallery's webpage and social media platforms 
2/ Other events    
Assist in the organization of social and cultural events (French Friday, Francophonie Festival, French Film Festival and other events)

REQUIREMENTS
• Excellent level of English (written and spoken)
• Previous experiences with arts organizations or events, will be an advantage
• Deep knowledge in visual art (specially photography), passionate about keeping abreast of latest market trends
• Able to work in a multicultural environment, multi-task, work in a fast-paced environment and to collaborate with multiple stakeholders
